Role of a Coordinator

As your coordinator, I am there to ensure you and your guests experience a seamless, joyful celebration from beginning to end. I carefully manage the logistics, oversee every detail, and handle any unexpected moments behind the scenes — so you can be fully present and soak in one of the most meaningful and unforgettable days of your life.

prep work starts ahead of the event day to ensure details are well visualized, logistics are confirmed and everything is in place to help me, to help you ensure the day runs smoothly. SOme of what I do ahead of time with clients as a coordinator is

  • Communicate with you and relevant vendors ahead of time
  • Site visit with clients ahead of time to confirm layout and flow
  • Confirm ceremony timing, processional cues, and vendor arrival logistics
  • Coordinate details for reception start (e.g., dinner service, toasts)
  • Review of your day of timeline and provide any assistance as needed to ensure everything is in place time wise for the day of
  • Assistance with final preparation for the wedding as needed (such as final pickups of decor or other items as required)

During your event my role is ensuring your event flows as you intended. making sure everything happens on time, and that movement between event segments happens seamlessly and without confusion. My role during your event can cover the following:

  • Assistance with and overview of set up of the event
    Coordinate vendor arrival and deliveries
  •  Manage wedding party and guests before/during the ceremony
  •  Liaise with officiant, musicians, and vendors for cues
  •  Smooth transitions between segments (Ceremony to cocktail hour to reception
  • Assistance with coordinating photos/ family photos if requested
  • reception support (e.g., dinner or toasts, first dances etc)
  •  Vendor management and timeline cues during reception kickoff
  • If requested, I can assist with coordinating some of those final vendor payments (handing off cheques etc as vendors arrive)

At the end of the night when the dance floor has closed, my work is not yet done. I am there to assist as required with take down and ensuring everything is returned to a neutral place, items are packed up ready to be stored, returned or sold, and takes the stress off family and friends to stay and help clean up.
